1.0 INVITATION TO TENDERERS
Happy Valley Hotel invites bids from suitably verified security companies to provide security
services at our premises in Ezulwini.
2.0 SERVICES STATEMENT
The selected service provider will be responsible for monitoring the property for unusual,
illegal, or dangerous activities. This includes patrolling room corridors, hallways, parking
areas, stairways, lobbies, bars, restaurants, pool areas, and any other publicly accessible
facilities. The goal is to protect the assets of Happy Valley Hotel while also prioritizing the
satisfaction and comfort of our guests. We expect that the security measures implemented
will be sensitive to the needs of our clientele, ensuring a positive experience for everyone.
3.0 DURATION OF CONTRACT
The contract will be for a period of twenty-four (24) calendar months commencing from the
start date.
4.0 SITE VISIT/INSPECTION
A compulsory site visit is scheduled for 11 October 2024 at 09:00 hours.
5.0 VALIDITY OF QUOTATIONS
Quotations must remain valid for a period of ninety (90) calendar days following the closing
date.
6.0 REQUIRED DOCUMENTS WITH QUOTATION
Please ensure your quotation includes the following documents:
- A detailed proposal outlining the implementation of the security services
- Evidence of any Guest Satisfaction Training provided to your security personnel
- Original and Valid Trading License
- Original and Valid Tax Clearance Certificate
- Copy of Certificate of Incorporation
- Copy of Valid Labour Compliance Certificate
- Copy of Valid ENPF Compliance Certificate
- Copy of Company’s current Form J and C, stamped by the Registrar of Companies
- Copy of VAT Registration
- Three traceable references of verifiable similar assignments
- Police Clearance for all Company Directors (including fingerprints) – required upon
tender award.
7.0 PRICE STRUCTURE
Include a detailed price schedule with your quotation, as per the following format:

8.0 REQUEST FOR CLARIFICATIONS AND ENQUIRIES REGARDING RFQ
All enquiries regarding this RFQ should be submitted in writing
to phinleyv@happyvalleyhotel.com. Responses will be sent via the same email. Bidders must
confirm receipt of all clarifications. The deadline for submitting clarifications is 14 October
2024.
9.0 SUBMISSION OF QUOTATION
Quotations will only be accepted by email in PDF format to phinleyv@happyvalleyhotel.com.
Please include all required documents (with VAT included) in your submission. No hand
deliveries will be accepted. Happy Valley Hotel reserves the right to reject any or all tenders
and will not be liable for any costs incurred in preparation and submission.
10.0 DEADLINE FOR SUBMISSION OF QUOTATIONS
Quotations must be submitted by 1700 hours on Friday, 18 October 2024. Late submissions
will not be considered.
